To indicate that a carrier is a Smartway Partner go to:

For reporting - the little export will show Smartway carriers, and there is now a selection in reports to choose by Smartway carriers.
Also coming soon will be an option to select reports by Smartway carriers

The 1099 form generated by Aljex uses the 1099 misc income form

On 1099's the Vendor Name will always print, if there is a Legal Name that
will also print.

The address is the Vendor address not the pay to address.

Requirements for selection for 1099
1. Fed ID or SS # in Vendor File
2. YTD $ over $600.00
3. Send 1099 = "Y" on screen 2 of Vendor File (Payment & Remittance Setup)

Aljex Logistics module now offers the new API function for automated rating, tracking and retrieval of BOLs and PODs. Aljex is one of the few vendors to offer both the traditional LTL rating thru SMC and new technology called application programming interface (API). The API is very popular among 3PL providers in replacing the traditional SMC rating for rate retrieval, pick up notification and tracking. Rate Estimate Web Service
The Rate Estimate Web Service provides a way for developers to pass a number of criteria to carriers programmatically and in return receive a Rate Estimate and other output for use in our rate engine.

Comdata Integration has Great Features

From within Aljex, you can now issue express checks, express cash, or issue virtual credit cards.

First, the Comdata interface has 4 main functions

1) Express cash –
standard Comchecks – from within aljex, you put in that you want to give 300 to a driver. It contacts Comdata, and reports back the comcheck # within a few seconds.

2) Add funds to a com-card
Standard comcard for drivers, you can add funds to him for advances or finals.

3) Issue a virtual credit card - I LOVE THIS CONCEPT.
You can issue a credit card number to a driver and it’s good for a certain amount and you can make it where its only good for certain things. It’s a ‘real’ credit card number, with expiration date and cvc #. So, for instance, if the driver needs repair money, you can give him a credit card # that is ONLY good for repair bills, and only good up until the expiration date that you choose.

4) Requiring the driver to give his active pro# to purchase fuel.
With this feature, when the driver fuels up, comdata’s system queries our system and verifies that the driver has been assigned to the pro# he gave, and that the driver hasn’t already been advanced more than the maximum for that load. This also gives you a list of all of your fuel purchases and price per gallon and you can easily see which of your drivers is buying the most expensive fuel.

All of these options work with the accounting system so as you advance a driver, it automatically comes off the settlement.

There are a number of control options.

A user permission to add an advance.
A maximum amount a person can advance
A maximum percentage a person can advance

A supervisor privlige that allows users only put in advance requests, and a supervisor will get an email notification, and be able to view and approve advances. Only when its approved by the supervisor is the advance issued.

When you click to issue a check, the API (Application Programming Interface) instantly connects to Comdata, authorizes the transaction, and reports back the authorization or virtual card number. It also updates the system. The instant it’s added, the amount is also deducted from the driver’s settlement. The record keeping is done for you saving valuable time.

PC Miler Change October 1, 2011

Last summer we alerted all customers that PC*Miler will no longer be offering flat rate pricing for mileage calculations. A letter dated September 9, 2011 was sent with regard to this change which will be taking place on October 1, 2011. PC*Miler will only be offering mileage calculations on a transaction basis.

The cost for this is $450 per year and that price includes 22,500 mileage calculations. The big benefit is we will be querying PC*Miler’s servers directly for the mileages, and we have been told this should increase the number of zip codes they have on file. In addition, another big improvement, this service has Canadian mileage calculations.

For Asset based clients:
Mileages are tightly woven into our trucking dispatch and are required. There is no way to ‘turn it off’. PC Miler will be a requirement for our Asset based carriers.

End-of-Year Tax Forms

It is time to start thinking about end-of-year tax forms and Dynamic Systems is here to help. We are your source not only for high-security checks, but for all W2 and 1099 tax forms. No matter what your tax form need is, we have the compatible form for you. To help you make your way through end-of-year we would like to share with you this list of helpful hints for a stress-free tax form season:

• Order enough forms. Don’t forget to include employees who worked only part of the year such as temps or project help when determining how many forms you require. Also, consider the number of forms you may need for reprints due to employee loss or damage.

• Update your software. W2 and 1099 formats have changed from last year. Therefore, it is necessary to update your software with the correct layouts before printing your 2011 forms.

• Order early. Although it is not always possible to place your order before the end of the year, try to order your forms as soon as you can. W2s and 1099s are dated forms that are produced in limited quantities. Waiting until the end of January to order your forms may cause unwanted delay.

• Confirm your shipment upon arrival. When your tax forms arrive take the time to carefully review what you have received. Finding problems early will allow you the time to get them corrected. Did you receive only half of what you ordered? Consider that with 2 to-a-page formats 50 sheets will yield 100 forms. If you still have questions, contact your forms provider.

• Give yourself sufficient time. Printing your employees’ tax forms is only part of the overall process. Depending on the format used, you may also have to detach the forms from one another, collate them, stuff them into envelopes and then put postage on the envelopes. Consider the whole process when determining the amount of time you need to complete the task.

Charge Customers an Hourly Rate

On screen 1 of the invoice file you can change the rate code from "F" (flat) or "M" (mileage), etc to "H" for Hourly.
You will receive a few prompts asking how many hours & what the rate per hour is.
This works for UNPOSTED invoices

Also, once you have established the hours & rate, you can edit them on screen 5 of the invoice file. This will not trigger prompts to appear

Keep track of call backs with your carriers

Use the new telemarketing feature in the carrier file!

FROM DISPATCH: look up carriers, choose telemarketing, then enter
next call date. (note, if you haven't anyone with a call date of today or
greater, this won't work, just add a next call date to any carrier, then try
again.

When viewing the carrier, you can update the last call and next
call and use "N" for notes to add sales notes.

e-Signatures through Sertifi now available.

Documents can be signed using a mouse, uploading a scanned signature, or on any mobile device such as an iPad or iPhone by using your finger or stylus. It looks like a signed paper copy and you just went paperless!

IFTA Testers Needed

We are looking for customers with Aljex Trucking Software to test out a new IFTA Reporting feature.

This new feature will allow you to create a trip record and allow you to enter in a driver’s odometer readings and fuel purchases for each leg of his trip off of his trip sheet. You will be able to generate a printout of this trip sheet. Then, IFTA menu allows you to view or print the quarterly summary sheets . You can print summary sheets for individual trucks or you can print your whole company summary.

We are planning on archiving check calls that are over two years old, starting on July 15, 2011. Our combined clients have millions of old check calls and with all the EDI's running and GPS systems pinging, plus the regular check calls, it really makes sense to delete the old ones.

DAT Posting & DAT Report

About noon today we made an adjustment to our interface with DAT (Transcore) to resolve an issue of when shipments were exported.

The changes caused and old report to be emailed in error reporting shipments not sent to DAT. This report was used when we were required to validate the city & state data sent to DAT were in their data base. We no longer are required to do so and DAT does all the validation and filtering which made the report obsolete.

Drayage - New Features!

There have been lots of new improvements in the container drayage system over the last several months... and we are still doing more! As a matter of fact, we have a new program to enter multiple container moves at once. If you are interested in being a tester for it, please email robyn@aljex.com.

Here's a list of the new features & updates:

1. When you are in a load, if you hit “F” we have a new fax/form/data history option.

2. We added new fields:
Voyage #
Equipment Pickup Date
Document Cut-off Date & Time
Early Return Date
Latest Return Date
Sailing Date
Port Cut-off Date & Time
Master Invoice

3. There is now automatic rating in the pier program.
a) Setup tariff rate in tariff file (remember the tariff number)
b) In the customer file, screen 4, put in tariff number, make default rate
type "A"
c) in Drayage, in the rate type field, put an "A" in the rate type. On new
orders, it will fill in automatically from the customer default rate type.
d) thats it, it will automatically use tariff rates.

4. You can now add accessorials to container drayage moves.
Part of the accessorial system is automatic fuel surcharges(fsc). Setting up fsc is exactly the same as all the other aljex modules, it looks at the customer file and rates according to what is setup for that customer.
Accessorials are on screen 8 of container drayage.

Air Freight - New Features!

In classic air-freight, you can now:

1. Make a quote into a tag!
When in the tag screen make the type of shipment "quot" and press enter. It will ask for the customer and destination state and bring in the quote

2. Setup airfeight types (like ovn, 2nd, def)
In the classic setup menu, choose "equipment/tag types" and then airfreight tag types.
or - in the airfreight dispatch menu, choose air tag types

3. Browse from the airfreight tag types in Quotes
When you go into quotes from the airfreight menu, when you choose the equip
type, it will browse from the airfreight tag types file instead of the
brokerage/trucking tag types. This way you can have specialized types, ovn, 2nd, def, etc.

Autorates for Carriers!

You can now set autorates for carriers! It works just like the customer autorates.

Simply set the tariff up & assign the tariff number to the carrier's profiles. Ta-dah! Its done. You can now autorate carrier pay based on:
* Pickup to Consignee
* Zip to Zip
* 3 digit Zip to 3 digit zip
* State to State

To set this up go to Classic> Accounting> F-Rates> 2-Add a Rate> You Can Use This for Charging a Customer or Paying a Carrier:
Charge or Pay? (C/P): "P" if you are paying the carrier this tariff rate

Then, go to the Classic Carrier file> Screen 3 - On the bottom right enter the Tariff #

It’s been such a busy few months! Over the Holiday season so many people take vacations & slack off a little…. but not Aljex! We have implemented a ton of new features in Vision that we’d like to make you aware of.

We review these features in Training Classes. By the way, training class isn’t just for new people…. I guarantee you will learn at least 1 new valuable tool each time you attend!

• Across the top of the Home Page we adjusted the menu tool bar (Shipments, Customers, Carriers ) so it fits better on laptops, smart phones and smaller monitors.

• Shipments Needing Attention – There are more “events” in the grey box on the home page. You can now filter & search shipments that have: No pick up Appointment, No Delivery Appointment & No Pick up or Delivery Appointments

• On the Home page you can view your shipments by mode of transportation by checking the box next to Brokerage, Logistics, Airfreight, Trucking or Intermodal. You can view more than one mode at a time.

• Run reports or search shipments that are active or released by going to the Shipments tab. Here you can search shipments by reference number, ship dates, pick up or consignee locations and more. If you click the Spreadsheet button the results will export to Excel! Check it out!

• Radius reports are available through the Shipments and the Reports tab. You can use the radius search to locate the nearest loads or nearest trucks to a zip code or city & state

• To manifest multiple loads on same truck use the Manifesting feature under the Shipments tab. You can divide the carrier pay by pallets, pieces, weight or number of shipments. You can manifest a pro more than one time.

• Least Cost Routing is now available in Manifesting. The Logistics package is required for all Least Cost Routing functions.

• Load Count displays on bottom left ; below the last load displayed on the home page.

• Create 3rd Party Billing for bills of lading by going to the Setup Menu. Once the bill to’s have been created you can choose from this list when sending a BOL to a customer. The BOL is located in the pro under Customer Forms.

• Tariff Rate Setup is now located in the Setup Menu. Tariff rates can be created based on pick up, consignee, zip, 3 zip or state and rated per mile, CWT, gainshare or flat fee. Just assign your customer the Tariff # for the auto rating to apply.

• Tariff rating options, Billing Notes, Accounting & E-Billing options are now available in the Set up & Preferences section of the Customer file.

• Documentation (scanned or uploaded images) can be viewed from within the Customer File and Carrier File or from the View Customer or Carrier feature. The drop down box for documentation identifies the file names & reveals how many files have been stored for each category.

• Send your customer an AR statement via email from View Customer. The email address for AP contact in the customer’s file will populate. You can hover your mouse over the “send” button to view the customer’s outstanding balance.

• Track customer’s shipments by using the Track button in View Customers. You can search by reference numbers, dates and more.

• Keep track of customer calls by using the last call & next call date. Enter sales notes then adjust the last call and next call dates. Then, when you go to View Customers you can search by the next call date.

• Access carrier pay information and missing paperwork by going to View Carriers. The YTD pay button will bring you to the carrier AP info and Missing Paperwork.

• Payment setup options are now available in the Carrier File. This includes payment terms & quick pay.

• In Trucking - Equipment Available Soon and Map of Available Soon Equipment have been released. We described these features & announced they were coming soon in a previous Blog on November 1st.

You can now set up TL rates and tie them to your Customer in the Container Drayage Module

Give each set of rates a Tariff #
Then you go to the customer file, and in option 2, the setup, add the tariff #
to the customer - or customers who use that set of rates. Also set the default
rate type to "A" for auto-rate

When you add in shipments, it will automatically rate according to the TL
rates

CSA 2010

We are preparing Aljex to include the new CSA 2010 BASICs scores when they are released to the public. The latest statements from the FMCSA regarding timing state “no sooner than December 12” without referencing any particular release date. We plan on downloading the CSA 2020 BASICs scores when they become available, import the scores into our system and we also will be releasing an update to our software to utilize this information.

At that point, Aljex will include CSA 2010 BASICs data in its carrier profiles, and will be checking that data whenever you assign a carrier to a load. So as to not interfere with our clients businesses, checking CSA 2010 data will be an option to be turned on by each individual client.

Updates to Assigned Collector Feature

You can have an assigned collector person to each customer.
The salesrep can have an assigned collector which defaults for all the rep's
customers.
The Customer File collector will override the Salesrep File.
If the Customer File is blank the collector is pulled from the Salesrep File
for any reports
.
On the aged trial balance, and aged trial balance to excel, you will see
who is assigned to that customer
You assign the person on screen 7 in classic.

MILEAGE INTERFACE UPDATE

1. Effective 10/1/2011 (yes 2011, 1 year from now)PC Miler is changing their fees to a transaction charge instead of a flat rate.

2. We now offer an integration with Rand McNally

Now the details:

PCmiler is forcing us into switching to a transaction based system. I negotiated a big lead time - a year, and also made a deal with Rand for a flat rate pricing to replace it.

We had a really good deal with PCMiler, and I think the new deal is still good, just not as good. I think its easily worth a penny or so to automatically have a mileage calculated.

The big advantage of the new PCmiler deal is that you will be able to specify what version of PCmiler to use for which of your clients. You could have one customer with PCmiler 17 pricing, and another with PCmiler 21- or whatever.

The new PCmiler mileage pricing will be somewhere around 1.25-1.5 cents per query. For many of our clients, it will come out about the same as flat rate pricing or less.

For Rand, the pricing will be 450 a year, for unlimited query's. You can just go with Rand, just do PCmiler, or do both.

Equipment Grouping

There is a new option for not using equipment grouping in smartsearch.

smart search - by default - uses equipment grouping. Equipment grouping works by setting up equipment groups in the equipment type file.

In the equipment file, you can group - for instance- the different reefer types - (reefer team, reefer air ride, etc). then when you do a smart-search, it will find previous shipments from that equipment group.

There is an option in screen 5 of classic setup to turn off this grouping. With it off, when you smart search, (for instance) it will only match reefer teams to reefer teams loads. (instead of anyone within the reefer group)

If you have web services for carriers, you can have a link added to your smartsearch emails that a carrier can click on to view their account information, including their recently paid invoices, missing paperwork list, and invoices scheduled for payment.

An optional feature is available for carriers to pick shipments for quickpay.

Another optiona is a link that allows a carrier to update their shipments in progress with check calls, eta dates, delivery dates, etc. CARRIERS CAN ALSO UPLOAD POD'S FROM HERE.

This feature works from classic, tin, and vision.

To turn this on, go to your classic setup file, screen 5, smart search options, and put a "Y" in "include link to carrier page" and (optionally) "Allow Active Load Updates from Link"

1. All scans go into the public file. When you receive an email alert from Pegasus that documents have been scanned from the truck stop, you can go to the Pro # and view the scanned documents in the Public File. At that time IF there is a document that needs to be removed, you can delete it. If all documents were sent to the private file then ALL documents would have to be saved to your desktop & then uploaded to th e public file... less keystrokes & more time efficient to go into the public file
less key strokes.
2. When an image is scanned at a truck stop, it will send an mail to you letting
you know an image was scanned. The email address it will send to is in the setup file for "EDI invoices return"

New Permission for Equipment Groups & Shipment Types

Equipment Groups are controlled in the Equipment/Tag Types
Accounting> 4- Equipment/Tag Types> Look up any tag type

At the bottom of the screen there is a new grid defining the Standard Load Board Abbreviations for Equipment. These codes are for Shipment Type

If you want a shipment type to be included in a Group with other types of equipment, utilize the "Group" field.
This is important for SmartSearch when searching for Same or Similar Equipment!
Equipment Groups will group Vans, reefers, and flats in SmartSearch

You now have the option to turn this OFF in your Company Setup:
Accounting> A- Setup File> "5" SmartSearch > Don't Use Equipment Groups

New Aljex Printing Options

The Google Language Translator allows you to translate the document from English to other languages, with the default foreign language being Spanish.

Text messaging is live within Aljex, this feature allows messaging directly from Aljex. From Active Dispatch you can text a request for the driver to call and/or pick up & consignees address, phone numbers & reference numbers. From the carrier Advance File you can text the advance check and amount.

The phone # to text is pulled from screen 0 in Active Dispatch. A preview screen allows you to edit the text or the phone #.

To sign up for this feature contact sales@aljex.com, there is a charge of 10 cents per text. Texting is outbound only the recipient can not reply to the text message.

Vendor Functions
When a vendor is ready to schedule a delivery, they start the process by entering the PO# or SKU#. Create a pickup request ready to be approved. This area eliminates the need for a routing guide.

Shipments in transit, or scheduled shipments can be viewed, modified, or removed from the inbound system by the vendor.Vendors can also check shipment statuses and print bills of lading.

Portal for a vendor to view all of their shipments. They can select by date range, reference #, pickup or delivery location and more. View delivery information, driver check calls and current shipment location. Also view scanned delivery receipts and shipment invoices.

Internal Functions
This is a portal to view and control all shipments in the supply chain. View shipments that are scheduled, in transit, or recently delivered. This is one dashboard to control all shipments from all vendors. Set delivery appointments, change shipping quantities, change destination, and even select which dropped trailer to load. Approved pickups will be sent automatically via EDI to your 3rd party logistics provider.

This area gives a manufacturer or retailer the ability to view consolidated reports of shipments in the supply chain. Since all inbound shipments are in one system, this is "future inventory". View in-transit inventory on screen or via Excel spreadsheet.

Safersys Satisfactory Rating and Covering Loads

can be covered with a carrier that has a Satisfactory safety rating, according to
Safersys.

NOTE: This setting only applies to line haul carriers.

With this option set to Y, a load cannot be covered with a carrier if:
1) The safety rating is anything other than Satisfactory
2) The carrier has no safety rating or no MC number
3) The Safersys website is down

If Safer Pop on Cover (on Screen 4 - Insurance Information) in the Vendors & Carriers
file is blank or N, you will still be able to cover with the carrier, regardless of
what the Employee/Users file permission is.

If Cover Popup Safersys on Screen 8 of the Setup File is set to N, none of the above

More Precise Map of Available Loads In Dispatch

In the dispatch menu under option 7 you can view your available loads in a Google Map. This feature has now been updated to show your pickup address more precisely then before. Previously the pickup address was displayed by a pin based off the City, and State. Now the pickup address is displayed by a pin based off the Address, City, and State.

Text Messaging Feature

Text messaging is live within Aljex, this feature allows messaging directly from Aljex. From Active Dispatch you can text a request for the driver to call and/or pick up & consignees address, phone numbers & reference numbers. From the carrier Advance File you can text the advance check and amount.

The phone # to text is pulled from screen 0 in Active Dispatch. A preview screen allows you to edit the text or the phone #.

To sign up for this feature contact sales@aljex.com, there is a charge of 10 cents per text. Texting is outbound only the recipient can not reply to the text message.

CUSTOMER CONFIRMATIONS in Active Dispatch.
The standard customer confirmation and the laser confirmation have been consolidated into one selection G Customer Rate confirmation. With that choice you can then select the standard or laser form. If you have a customized form that will still be the non laser version.

The selection for the Laser Customer Confirmation has been replaced with a new feature. The new feature provides sms text messaging from Aljex. Features include a rate confirmation (no rates), request to call dispatch and advance information. Call Aljex Sales to sign up for this service.

Employee File - Big new option

We added a new option to make it easier to update an employee's profile and permissions in the employee file. Its option 4 in the employee menu. You can now view, update, add or delete a persons profile from a web page. The advantage to this is its faster to find a permission on one big page, rather than looking through multiple screens.

For adding, it seems faster to me to do it in classic, but feel free to do it anywhere that it makes you happiest, its all updating the same information.

POSITIVE PAY

What is Positive Pay?
Positive Pay is an automated fraud detection tool offered by the Cash Management Department of most banks. In its simplest form, it is a service that matches the account number, check number and dollar amount of each check presented for payment against a list of checks previously authorized and issued by the company. All three components of the check must match exactly or it will not pay.

How does Positive Pay work?
Positive Pay requires the company to send (transmit) a file of issued checks to the bank each day checks are written. When those issued checks are presented for payment at the bank, they are compared electronically against the list of transmitted checks. The check-issue file sent to the bank contains the check number, account number, issue date, and dollar amount. Sometimes the payee name is included, but is not part of the matching service.

When a check is presented that does not have a "match" in the file, it becomes an "exception item". The bank sends a fax or an image of the exception item to the client. The client reviews the image and instructs the bank to pay or return the check.

How can I integrate this with Aljex?
Aljex can create a custom report for you to transmit to your bank. The report would include the detail of checks you have written in Aljex. To get started, email support@aljex.com

Covering Process

To stream line the cover process, when covering a shipment, you can now enter the carriers will pickup date and time. These fields are on the bottom of the screen where you enter the driver name, cell phone, trailer, ....

This is optional feature and if you don't enter the date and time the software will continue to prompt you for the date and time.

Invoice Posting Report

Many of our clients are taking advantage of the Fax and Email billing when they invoice their customers. The Sales Journal, that prints just before you post, now includes how the invoice is sent.

If you are not taking advantage of these features, its easy. Screen 2 of the customer file gives you an option to email or fax invoices. Put an E for email or a F for Fax and fill in the billing fax# or email address.

Bigger "Big Export"

The "big export" just got bigger! There is another version of the "big export", this one with over 500 columns of information about each shipment. This new report is so big, that you need Excel 2007 to open it. (Older versions of excel will not be able to open it). The new big export 500 is located in the excel reports menu, and the additional fields added now include every line of the invoice, and all of the extra picks and stops, with complete names and addresses).

Available Trucks -

Due to the increased availability of trucks, we have a new option you may want to use. You can now set the number of days for available equipment to stay in the available trucks file. The new option is in the setup file, screen 4, "Delete Available Trucks X Days". By default its set to "1", so if a truck is available today, it will be deleted automatically tomorrow night. (This has been how it has worked before this new option). But you can now set it to 0 - (if its available today, its gone tonight, or (with so much available equipment) choose to keep it in there for an extra day with a "2"
